Mail settings

Team settings for company admins, two-factor sign-in, app passwords for Outlook and Thunderbird, and changing your password in TACENZA Mail.

TACENZA Mail has three settings pages, at the bottom of the sidebar: Team settings for a company’s admins, Encryption, and Password & sign-in for everyone. This page covers team settings and password and sign-in. Encryption is on Privacy and encryption in Mail.

Team settings (admins)

Only a company’s admins see Team settings. It lists the people and shared addresses of the company’s domain. A company can have more than one admin.

Add a person

  1. Under Add a person, enter their Name and Address (the part before the @).
  2. Select Add.
  3. A temporary password is shown once. Select Copy and give it to them in person or on a call, not by email.

They have to choose their own password the first time they sign in.

Reset someone’s password

Select Reset password next to the person. A new temporary password is shown once.

A reset also turns off their two-factor sign-in and removes their app passwords, so a lost phone locks nobody out. If their mail is encrypted, a reset doesn’t open it: only their recovery key does.

Important

Without encryption, a reset lets an admin get into that person’s mailbox. The person has to choose a new password at their next sign-in, so it doesn’t go unnoticed.

Make someone an admin

Tick Admin next to them. Untick it to take it away.

Shared addresses

  • New shared address: enter the Address and a Name people see, then select Create.
  • Who has which address: tick a person’s box to give them the address, untick to take it away.
  • Delete removes the address.
Warning

Remove next to a person deletes their mailbox and all their mail. Delete next to a shared address deletes it and all its mail. Neither can be undone.

Password & sign-in

Two-factor sign-in

With it on, signing in needs your password and a 6-digit code from an authenticator app, like Aegis, 2FAS or Google Authenticator.

  1. Select Turn on two-factor sign-in.
  2. Scan the QR code with the app, or enter the key shown below it.
  3. Keep that key somewhere safe, like a password manager. If you lose your phone, it gets you back in.
  4. Type the code from the app and your password, then select Turn on.

To turn it off, select Turn off… and enter a code and your password.

Accounts made on the sign-up page have no admin, so nobody can reset them for you.

App passwords

Mail apps like Outlook, Thunderbird and the one on your phone sign in with an app password. With two-factor on, they have to. Without it, they can use your normal password, but an app password is safer: if a device is lost, you remove just its password.

  1. Select New app password.
  2. Name it, for example “Thunderbird on my laptop”, and enter your password (and a code, with two-factor on).
  3. Select Make app password. It’s shown once, with the settings to use:
    • Username: your address
    • Incoming (IMAP): the server name shown, port 993, SSL/TLS
    • Outgoing (SMTP): the same server, port 465, SSL/TLS

Select Remove next to an app password to stop it working.

Change password

Enter your Current password, a New password of at least 10 characters twice, and select Save password. The new password works everywhere at once, also in mail apps that use it. If encryption is on, your key is locked with the new password too.

Sign out

Sign out forgets your session on this device and in every tab. The mail server can’t cancel a session yet, so a copied session keeps working until it runs out.
